Responsibilities
- Procurement Management:
- Receive purchase requests (PRs) and coordinate with suppliers to meet department needs within specified delivery dates, adhering to procurement SOPs.
- Identify suppliers and negotiate terms (prices, delivery dates, conditions) to secure cost-effective deals based on technical approvals.
- Purchase Order (PO) Processing:
- Issue and validate purchase orders for approved offers, ensuring compliance with SOPs and obtaining requisite approvals.
- Coordinate payment arrangements with the finance department.
- Supplier and Shipping Coordination:
- Follow up with vendors on delivery timelines and technical compliance of received items.
- Identify optimal shipping offers considering delivery time, cost, and methods to ensure timely receipt of goods at the most economical rates.
- Customs and Clearance:
- Work closely with clearance specialists, ensuring all shipping documents are accurate for seamless customs clearance.
- Minimize additional customs fees through proactive management.
- Data and Reporting:
- Maintain accurate records of procurement cycle details (dates, prices, terms, conditions) and update the database for transparency and future reference.
- Share procurement updates with requesting departments and the finance team.
- Operational Oversight:
- Monitor daily procurement operations for compliance with company policies and established processes.
- HSE and Risk Management:
- Promote a safe work environment, manage procurement risks, and support incident management.
Educational Requirements
- Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, International Trade, or related fields.
Experience Requirements
- 2–3 years in an international procurement role.
- Familiarity with East African customs processes and freight forwarding (certification is an advantage).
Additional Requirements
- Proficiency in Microsoft Office Suite and ERP systems.
- Business fluency in English (written and spoken).
- Strong negotiation, analytical, and organizational skills.
- Excellent stakeholder management and communication abilities, including with executive and C-level stakeholders.
- Ability to handle large data volumes and adapt to varied client needs.
