Job Summary
The Finance & Administrative Assistant will report directly to the Finance Officer and collaborate closely with the Zonal Clinical Advisor. The role combines financial management with administrative support to ensure smooth project operations and compliance with FHI 360 and donor requirements.
Key Responsibilities
Financial Responsibilities
- Maintain accounting records and financial tracking systems.
- Process daily project payments following FHI 360 procedures.
- Support invoice preparation and financial documentation.
- Verify travel advances and operational expenses before payment.
- Assist with funding requests and sub-grant reporting.
- Review financial documents for completeness and authorization.
- Monitor accounting procedures for project partners.
- Maintain financial data within the GFAS accounting system.
- Support partner financial capacity strengthening.
- Perform monthly SFR account reconciliations.
- Update the SFR liquidation tracker regularly.
Administrative Responsibilities
- Receive, distribute, and coordinate incoming and outgoing mail.
- Schedule meetings with project partners.
- Organize logistics for meetings and conferences.
- Prepare reports, spreadsheets, databases, and project documentation.
- Provide general administrative support as assigned.
Required Qualifications
Applicants should possess:
- Associate’s Degree or international equivalent.
- At least 3 years of finance, accounting, or administrative experience.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
- Experience with budgeting and financial reporting.
- Good knowledge of office administration.
- Strong analytical and quantitative skills.
- Excellent spreadsheet and database skills.
- Strong organizational and attention-to-detail abilities.
- Ability to maintain confidentiality.
- Excellent written and verbal communication skills.
- Fluency in English and French.
